Attendance in a third of a second — and the parent knows

Digital Attendance marks a student at the gate by face or QR ID card, pushes the notification to the parent’s phone with the time, and writes the register for you. It runs on ordinary Android phones.

Digital Attendance

Digital Attendance is our gate-side attendance system, running at more than 150 institutions. A student stands in front of a phone or shows an ID card; the face engine — built on the Google Face SDK and tuned for a crowded school gate rather than an office lobby — matches in roughly 200 to 300 milliseconds. The register updates, the parent gets a notification before the child reaches class, and the day’s defaulter list writes itself.

Three ways to capture

Whatever suits your gate

All three write to the same register and send the same notification. Most schools use two — face for students, something else for staff.

AI face scan

Nothing to carry and nothing to touch. Faces are mapped from the photographs you already supplied for ID cards, so there is no enrolment queue on day one, and a match takes about a third of a second.

QR ID card

A unique QR code on every student and staff card, generated in bulk and printed with the cards. Cards already printed can take a QR sticker instead, and a lost card is replaced the same day at card cost.

Biometric terminal

eSSL and Hikvision terminals you already own feed the same register — a common arrangement is face at the gate for students and fingerprint at the office for staff. More on attendance automation.

What you get

Everything in Digital Attendance

Parents told at IN and OUT

A push notification reaches the parent through School eDiary the moment the scan happens, with the time. SMS can be added where a parent is not on the app.

Live photo verification

The premium option captures a real photograph at the moment of the scan. It goes to the parent with the notification and stays in the school’s record.

Absent decided by your rules

Set the cut-off time class by class. Anyone not scanned by then is marked absent and lands on the day’s defaulter list without anyone having to compile it.

Reports that export

Device-wise, student-wise, class-wise and date-wise, to PDF or Excel. Class registers build themselves, and parents get a monthly attendance percentage.

Staff on the same system

Teaching and non-teaching staff have their own register and reports — and staff attendance cannot be marked from a phone facing students.

One device, only its classes

The administrator decides which classes each device may mark, so a phone at one gate cannot touch another gate’s register.

It keeps working when the line drops

Scans continue and queue on the device when the connection goes, then sync as soon as it returns. The queue at the gate never waits for the internet.

Light on data and on the phone

Built to run on a nominal amount of mobile data, and images are removed from the device once they have synced.

A birthday wish on the scan

A student scanning on their birthday gets a greeting, and so does the parent. A small thing — and the one parents mention.

Going live

Live in 24 to 48 hours

1

Tell us about the institution

Student and staff numbers, and how many gates or doors you want to scan at. That is enough for a quote.

2

We set the account up

Your cloud account is ready within 24 hours of the details reaching us.

3

Send the lists and the photographs

Your student and staff export — Excel or UDISE+ — one photograph per person, and parent mobile numbers. We map the faces and generate the QR codes in bulk.

4

Mount the phone and start

Install the app, fix the phone at the gate, and the first scan notifies the first parent. Most schools are running the same week.

What you need at the gate

  • One Android phone per scan point — a phone the school already owns is fine.
  • A simple stand or wall cradle, and a plug socket nearby.
  • Your student and staff list, as an Excel or UDISE+ export.
  • One photograph per person, and parent mobile numbers.
  • Optional: the eSSL or Hikvision terminals you already have.
Included with your package

The scan is one end of it

Attendance is only useful if it reaches somebody. Two applications come with the package — one for the parent, one for the office.

School eDiary

Where the parent sees it — notice board, attendance, academic calendar, profile and push notifications, on their phone.

What’s inside

School On Web

Where the office runs it — student and staff records, attendance management, master settings and user management, in the browser.

FAQ

Questions schools actually ask

No. The app runs on ordinary Android phones and tablets — one per scan point, and a phone the school already owns is fine. Beyond that you need a stand or wall cradle and a plug socket at the gate. If you already own eSSL or Hikvision terminals, they can feed the same register.
From the photograph you already give us for the ID cards. It is mapped once when your data is loaded, so there is no separate enrolment queue and nobody has to stand in front of a camera on day one.
A push notification in School eDiary at IN and again at OUT, with the time. With the photo verification option, the live photograph taken at the scan goes with it. SMS can be added at extra charge where a parent is not on the app, and a monthly attendance statement goes out automatically.
Yes. Scanning continues and the records queue on the device, then sync as soon as the connection returns. Nothing is lost and the line does not stop moving.
Yes. The administrator assigns class access device by device, so a phone at the junior gate cannot mark a senior class. Staff attendance is kept separate and cannot be marked from a student-facing phone.
Your institution owns its data. Records sit on our cloud infrastructure, access is limited to the school users you authorise, and you can export to PDF or Excel at any time — the full detail is here. Price is quoted per institution, against student and staff numbers, the modules you take and the number of scan points. ID cards are priced separately by type.
