Four things decide your number: what you are buying, which features you switch on, how many people it has to serve, and how much of it we build to your own rules. Nothing else moves it — no per-seat licence, no setup fee for a standard rollout.
We would rather show you the formula than a rate card that will not match your institution. Here is exactly what we look at.
Two shapes, and they are billed differently. A platform we host and keep running for you is an annual rate. A project we build and hand over is scoped once and quoted once. Every product and service we offer is one or the other, and each carries its own rate card.
Records and attendance cost less to run than fees, online payment, transport and the parent app. You pay for the modules you switch on — and if you drop one at renewal, the rate comes down with it.
Counted in students on the roll, never in logins — teachers, clerks, accountants and parents are unlimited on every plan. The larger your strength, the lower the per-student rate.
Setting the system to your report card, your fee heads and your branding is configuration — included. Code written for one institution and nobody else is a project: quoted once, and it never raises your annual rate.

On a hosted plan, capacity is counted once a year — on the students on your roll at the start of your academic session. Staff, teacher and parent logins are unlimited and never counted. Project work is priced by scope, not by head, so none of this applies to it.

Your count is fixed at the start of the session. Take in forty more students in August and they are counted at renewal, not the week they join.
If strength falls, the next year is counted on the new number. The bands work in both directions.

Module by module, this is what separates the tiers on a hosted platform plan. Higher-education plans carry a few modules a school plan does not, and say so in the rows below. Project work is not tiered at all — it is scoped and quoted.

Anything marked as an add-on or quoted is priced once, when it is scoped — it does not change your per-student rate. Modules you do not switch on are not billed.
Most of what schools call “customization” is setup, and setup is included. The line we draw is simple: if it is a setting, we do it. If it is code written for your institution and nobody else, it is a project with a written scope and a fixed price.
